Privacy notice

This is a draft notice, written to accurately describe what this system actually collects and does with your information. White Outreach Movement should have it reviewed against Ghana's Data Protection Act, 2012 (Act 843) and any other applicable law before relying on it as a final policy.

What we collect

When you register, we collect:

  • Your name and gender
  • Your phone number, and optionally a WhatsApp number and email address
  • An emergency contact's name, relationship to you, and phone number
  • Whether you agreed to this notice and whether you opted in to SMS updates

Registration is individual only — we don't collect group or travel-companion details, and each participant registers separately.

We do not ask for payment details, national ID numbers, or any information beyond what's listed above during registration.

How we use it

  • To review registrations and select participants for the journey
  • To send you SMS updates about your status — only if you opted in, and only through our SMS provider, which sees your phone number and message content but not the rest of your registration
  • To generate a private status link (sent by SMS) where you can check your status, confirm or decline your spot, and — once confirmed — see a check-in QR code. The QR code itself contains only a random access code, never your name or other details
  • To check you in on the day of the journey
  • To contact your emergency contact only if genuinely needed during the journey

Who can see it

Program staff with an account on our admin system can see registration data, scoped to what their role needs — for example, check-in staff can look up participants but can't change selection decisions. Every action staff take (viewing a record, selecting a participant, checking someone in) is logged with who did it and when.

How long we keep it

We retain registration records for the duration of the program and a reasonable period afterward for record-keeping, then expect to delete or anonymize them.White Outreach Movement has not yet finalized an exact retention schedule — if you'd like your data deleted sooner, contact us using the details below.

Your choices

  • SMS updates are opt-in — declining doesn't affect your registration
  • You can ask us to correct, delete, or send you a copy of your information at any time
  • Do not submit a second registration to update details — contact us directly instead
